The Role To provide cross cover for all outpatient schedulers within highly complex out-patient service. • To book and notify patients of clinic appointments, both written and verbally. • Backfill cancellations to ensure maximised capacity • Investigate frequent enquiries from varied sources. • Assist in the organisation and management of outpatient waiting lists and return lists within a centralised service to ensure efficiency in patient care. • Deal with telephone and face to face enquiries from all staff groups, patients, relatives, carers providing information, directing and prioritising queries as appropriate. • Acquire a detailed understanding of a highly complex service and the administrative processes required to ensure all service capacity is utilised effectively and appropriately. Applicants Should Possess • A comprehensive knowledge of NHSL systems to include Trakcare and Clinical Portal. • Knowledge of waiting lists and Waiting Times Targets to ensure clinics are booked effectively and sessions utilised to capacity. • Continuous learning will be essential in order to acquire the detailed knowledge necessary to work in a demanding and complex service • A high level of resilience to working in a fast-paced, complex scheduling role • The ability to effectively communicate with and provide support to clinicians in matters of outpatient scheduling. • Enthusiasm, motivation, initiative and a positive outlook. • The ability to work collaboratively within a diverse team and be responsive to change within challenging timescales and a complex service. What we'll need you to bring • Educated to SVQ3 or equivalent level is desirable with at least 3 years experience within the National Health Service. • Demonstrate good organisational and communication skills required to work with a wide variety of staff groups. • Ability to work under constant pressure. • An ability to compile and review figures. • Knowledge of software systems. • Keyboard skills. Please note for all vacancies where a driving licence is required this must be a full UK/EU/EEA licence. It would be great if you also have • Experience within Health Service • NHS administration experience • Experience in Patient scheduling • Experience of Trakcare, Clinical Portal and • Microsoft office packages • Knowledge of NHS waiting times. • Tolero and Milan reporting tools • Able to work well as part of a team. • Resilience • Enthusiasm • Motivation • Positive outlook • Responsive to change Contract type Fixed Term for 6 months. Part Time 18.5 hours Please note this is a part time post and the salary for this position will be pro-rata. Please note this is a fixed term post for 6 months. Where a post only has temporary funding and an existing member of NHS Lanarkshire staff wishes to apply, this will be treated as a secondment. The employee MUST already have written agreement from their line manager to be released on a secondment before applying for the post. Location and Working Pattern This role will be based in the Ophthalmology department within University Hospital Hairmyres.
